Lead capture and HubSpot routing
Get every lead into HubSpot with the right context and next step.
When leads go missing, duplicate, lose their source, or land in the wrong pipeline, follow-up becomes guesswork. The Lead-to-HubSpot System connects one agreed lead path to your existing HubSpot process.
Fixed-scope implementation: $1,500.
The problem
A lead is only useful when the handoff works.
A broken form-to-CRM path can leave a team copying data by hand, contacting the same person twice, or missing a lead before anyone knows there was a failure.
- Leads never reach HubSpot, or arrive late.
- Duplicate Contacts or Deals are created.
- Source, campaign, or UTM details disappear before the CRM record is created.
- Fields map incorrectly, or forms update the wrong record.
- Webhook, API, or authentication failures leave a partial write.
- A Contact arrives without the right pipeline, follow-up task, or internal alert.
What the system does
Make each step observable and testable.
The mapping and routing depend on your source, portal, and process. We confirm those details before implementation.
Receive and validate
Accept one agreed lead path, check required fields, and normalize its payload.
Find before creating
Search using an agreed matching key, then update the existing Contact or create a new one.
Keep useful context
Map agreed source and campaign attribution into the HubSpot properties you identify.
Route the next step
Create a Deal in one agreed pipeline and stage when the process calls for it.
Make follow-up visible
Create an agreed task or internal notification where it belongs.
Handle failures carefully
Add duplicate protection and controlled error handling, then test representative success and failure paths.
The $1,500 engagement
One intake path, clearly defined.
One agreed source into one existing HubSpot portal. We confirm the fields, matching rule, routing, and acceptance checks before work begins.
- One agreed lead intake source and path into one existing HubSpot portal.
- Contact field mapping and create-or-update behavior using an agreed duplicate key.
- Mapping for agreed source and campaign attribution fields.
- One agreed Deal routing rule, when a Deal is needed.
- One agreed follow-up task or internal notification, where appropriate.
- Representative tests, documented verification, and a clear handoff.
Customer Zero / internal evidence
Tested internally, scoped freshly for your process.
STL Automate's internal Customer Zero production testing covers website lead intake, attribution, n8n processing, controlled test routing, duplicate protection, and internal review paths.
Internal validation has exercised Contact create-or-update, Deal and Task creation and associations, and idempotency handling. Agent Floor Customer Zero V2 completed one governed HubSpot write with durable evidence.
This is internal STL Automate evidence, not an external customer deployment, customer result, HubSpot partnership, or endorsement. Your source, portal, and acceptance checks are verified separately.
Implementation steps
Understand → Map → Build → Test → Verify → Handoff
- 01
Understand
Review the source, current lead path, and failure or desired outcome.
- 02
Map
Agree on Contact fields, attribution, duplicate key, pipeline rule, and acceptance cases.
- 03
Build
Implement the bounded integration and controlled failure handling.
- 04
Test and verify
Run representative inputs and check expected HubSpot records and next steps.
- 05
Handoff
Provide test evidence, operating notes, and a walkthrough.
What we need from you
Bring the current path and expected result.
- The form, webhook, or source that receives the lead
- HubSpot portal access and Contact properties
- Pipeline, Deal, stage, and follow-up expectations
- Source and UTM attribution requirements
- The duplicate key or rule you want applied
- A representative test input and expected output
- Timing, constraints, and access considerations

Lead-to-HubSpot questions
Before you start
- Does this work with an existing HubSpot portal?
- Yes. The $1,500 package is scoped for one existing portal. We confirm required permissions, properties, and pipeline access before implementation.
- Will it update an existing Contact or create a new one?
- We agree on the matching key first, then implement and test create-or-update behavior. More complex identity resolution needs a separate scope.
- How are duplicates handled?
- We search before creating and use the agreed matching key to avoid duplicate writes.
- Can you preserve source and campaign attribution?
- We map the source and campaign fields you need, including available UTM values, then verify representative submissions.
- Can the package support multiple forms?
- The $1,500 scope covers one agreed intake path. Additional sources or routing patterns may need added scope and price.
- How do you handle access?
- We identify minimum permissions. Do not send passwords, API keys, or credentials in the project request form.
- How long does implementation take?
- Timing depends on the source, field map, access, and acceptance checks. We confirm a schedule before work starts.
- What if requirements exceed the package?
- We explain what is outside the bounded scope and propose a Custom Automation Project. No additional work starts without your agreement.
